Reports to: Senior Associate, Service Delivery  

Position Overview:  

Hubs are primary operational nodes that align with Shamiri’s strategic objectives to scale its interventions across Kenya and beyond. Hub managers are strategic leaders who will contribute to Shamiri's success in its scaling phase. They will provide leadership and management to the hub personnel, including two hub associates, clinical leads/leads, and lay providers, and ensure that all core functions and activities align with the Shamiri model and are executed with high fidelity and quality.  

Roles and responsibilities:  

The Hub Manager's specific duties are detailed below:  

Stakeholder Management:  

  • Take lead in identifying, managing and monitoring stakeholder engagement throughout the project implementation cycle.  

  • Spearhead relationship management with key internal and external project stakeholders such as the school administration, teachers, students, clinical leads, fellows, referral partners, county and national government officials.  

School Recruitment and Onboarding:  

  • Spearhead mapping out of schools across their respective hub locations and onboard schools for Shamiri programs.  

  • Spearhead signing of MoUs with school principals across all the schools onboarded for Shamiri programs.  

  • Lead relationship management with the school contact teachers, collecting program feedback and ensuring that they are renumerated.  

Recruitment and Training  

  • Spearhead training and utilization of all tech related recruitment systems and processes for clinical leads and fellows.  

  • Spearhead screening and recruitment of clinical leads with support from the clinical operations team.  

  • Oversee screening and recruitment of fellows by the clinical leads.  

  • Lead weekly cohort discussions during clinical leads’ training.  

  • Oversee the training of fellows by clinical leads at the hub level, ensuring high fidelity and availability of all materials for effective training.  

  • Provide training updates to the training team and report any challenges related to the training process promptly.  

Program monitoring and evaluation: 

  • Oversee the effective utilization of the Shamiri digital hub by the hub associates, clinical leads, and fellows.   

  • Troubleshoot any daily hub-related challenges during program implementation and promptly find measures of resolution.   

  • Lead rapid learning and oversee the data collection processes around any pertinent rapid learning assignments as required by the Shamiri Research Team.  

  • Develop and submit weekly and monthly project progress reports as required by the senior associate – service delivery.   

Program and operations management:

  • Spearhead implementation of all critical project management processes in ensuring program delivery throughout the project lifecycle.   

  • Provide continuous and consistent program implementation updates to the Senior Associate, Service Delivery and other cross-functional team leads through weekly check-in meetings.  

  • Spearhead scheduling of clinical leads and fellows to the onboarded schools across the program implementation cycle.  

  • Develop and submit weekly and monthly project progress reports as required by the senior associate – service delivery.   

  • Oversee timely payment of clinical leads, fellows, and service providers.  

  • Ensure the safety and security of all Shamiri stationery and materials at the hub. This will include ensuring the maintenance of all office keys and that the hub is locked securely.  

  • Lead the continuous monitoring of all the core functions as per the Shamiri model, ensuring that a high level of quality standards is adhered to.  

  • Oversee adherence and utilization of Shamiri systems and processes by all hub personnel, i.e., Shamiri Digital Hub (SDH), operations, recruitment, payments, M&E, and follow-up.  

  • Spearhead the adherence of all procurement procedures in acquiring materials and supplies when called upon by the operations team at HQ.  

Referral Management:

  • Spearhead relationships with referral partners ensuring psychosocial cases from students to the established healthcare pathways.  

  • Oversee documentation of psychosocial cases by clinical leads and ensure the process is done efficiently as required by the clinical operations team.  

Education & Experience  

  • Bachelor's degree in Social Sciences, Business Administration, or a related field.  

  • 1-2 years of experience in administrative support, operations, finance support, project management, or field-based program coordination.  

  • Experience in mental health related programming would be an advantage

  • Possess strong time management skills and a strong sense of punctuality.  

  • Possess strong communication skills  

  • Fluency in English and Kiswahili.  

  • Must live within the zone of the program implementation.
