Position Description: Shamiri Hub – Data and Tech Lead 

Area of operation: Kiambu (Thika Area), Machakos (Kangundo/Donholm), Kisumu, or Murang'a.

Reports to: Hub Manager

Position Overview:  

Hubs are primary operational nodes that align with Shamiri’s strategic objectives to scale its interventions across Kenya and beyond. Hub operation leads will support hub managers in overseeing operations to ensure that all core functions and activities align with the Shamiri model and are executed with high fidelity and quality.  

The hub associates – data and tech will be responsible for leading the oversight of all data and tech-related functions at the hubs, contributing to the overall objectives and goals of rapid learning through real-time data.  

Roles and Responsibilities:  

The Shamiri Hub – Data and Tech Lead's specific duties are detailed below:    

Rapid Learning and M&E:  

  • After each school's first session, scan and upload the completed pre-program Quality Assurance mental health outcome questionnaires to the restricted-access G-Drive folder and PaperSurvey. Similarly, after the last session at each school, scan and upload the post-program questionnaires to ensure that all assessment data is accurately recorded and available on the digital hub.  

  • Prepare the post-program assessment questionnaires for those schools before the last session of the program.    

  • At the end of the last sessions of the program, ensure that all student sign-up and attendance forms from every participating school are scanned and uploaded to the restricted-access G-Drive folder and to PaperSurvey.  

  • Work with the research team to address any challenges concerning the use of the digital hub.  

  • Troubleshoot any daily hub-related challenges during the program and promptly update the Shamiri delivery team.  

  • Oversee accurate and timely entry of all information by fellows and clinical leads at the end of each session, ensuring that required data is fully recorded and uploaded onto the Shamiri Digital Hub (SDH).  

  • Ensure the correct and timely entry of fellows' details into the digital hub. This information includes their names, gender, age, National ID, session attendance (on the day of attendance), MPESA payment details (before the next payout cut-off date and time), and any other pertinent information. 

  • Ensuring the accuracy of school information input by supervisors.  

  • Routinely monitor the Metabase dashboard to confirm completeness of data and follow up promptly on any missing or inconsistent information.  

  • Use student information from Metabase and SDH to prefill questionnaire forms ahead of sessions, streamlining data collection and reducing errors.  

  • Conduct systematic data verification and quality checks across both PaperSurvey and Metabase platforms, ensuring that all records are uploaded, accurate, complete, and aligned with program requirements.  

  • Review and validate prefilled forms to ensure that student identifiers, school details, time points, and session information are correct before forms are administered.  

  • Conduct onsite or offsite randomization of students into groups, ensuring procedures are implemented with fidelity.  

  • Coordinate and execute random sampling of study participants and fellows whose sessions will be recorded for supervision, fidelity checks, or quality assurance.  

  • Ensure all session recordings are uploaded promptly and correctly after every session, maintaining the integrity and completeness of audio files for supervision and research needs.  

  • Monitor the progress of each research project and report to the research team. 

Program Management:

  • Ensure the quality management standards are adhered to throughout the program data collection processes.   

  • Ensure fellows upload students' data to the digital hub for each session.   

Requirements:  

Candidate Profile  

The ideal candidate is highly detail-oriented, analytical, and confident working with data systems in fast-paced program environments. They should bring excellent digital competency and the ability to manage end-to-end data workflows with accuracy and reliability.  

  • Strong data literacy: Skilled in reviewing, verifying, and interpreting data from dashboards, digital hubs, and paper-based tools.  

  • Tech-savvy: Comfortable using multiple data platforms (e.g., Metabase, SDH, PaperSurvey) and troubleshooting fundamental system issues.  

  • Operationally disciplined: Able to manage high-volume scanning, uploading, prefilling, and data-check processes across many schools and teams.  

  • Analytical and proactive: Quickly identifies missing or inconsistent data, follows up promptly, and ensures high data completeness and quality.  

  • Clear communicator: Able to explain data requirements to fellows and clinical leads and collaborate closely with Research and Tech teams.  

  • Ethical and reliable: Demonstrates professionalism, confidentiality, and strict adherence to data handling protocols.  

Education, Training, and Experience: 

  • Bachelor’s degree in a data-focused or analytical field (e.g., Data Science, Statistics, Public Health with M&E, Computer Science, Economics).  

  • 1–2 years of experience in M&E, research operations, or digital data management.  

  • Proficiency with spreadsheets and digital data collection tools; familiarity with dashboards (e.g., Metabase, Power BI, Google Data Studio) is an advantage.  

  • Experience with data collection workflows, verification, and quality checks in field or program settings.  

  • Experience coordinating data processes across multiple locations/schools is desirable.
